Job Title:                Administration Assistant

Location:                Swindon

Days / Hours:         Mon - Fri, 09:000 - 17:00

Hourly rate:            £10.65

 

Job Purpose

Responsible for providing clerical and administrative support, researching information, preparing reports and documents as required.  To create and maintain relevant administrative procedures to ensure work is carried out in a controlled and consistent manner.

 

General Duties:

  • To handle incoming and outgoing correspondence and documents and bring such items to the attention of colleagues
  • To conduct research, prepare and produce documents and papers.
  • To act as reception contact, handling inquiries and complaints, taking calls and referring them as appropriate to other members of staff.
  • To order office supplies.
  • Maintain record and filing systems.
  • If required to deposit income at the bank.
  • To undertake additional duties as required

 

Specific Administration:

  • To prepare correspondence and send directly to members or other organisations.
  • To ensure that the filing systems, both paper and electronic are kept up to date.
  • General Office Duties as required

 

Working with Colleagues and Customers:

  • To maintain effective and positive public relations and help to promote the image of the Company with customers, visitors and outside bodies.
  • To control notice boards and records, ensuring agendas and minutes are posted at the correct time.
  • To draw on own initiative and to advise on practicability and likely effects of specific courses of action.
  • To liaise and develop relationships with external bodies, customers, businesses and local organisations.

 

Candidate requirements:

  • Background and experience of heavy, administrative roles
  • Preferably experience of working within of public or government positions
  • Available immediately
  • MS Office systems knowledge
  • Excellent communications skills
